Transfering Email Data from the IMAP Account to the POP3 Account
After creating the new POP account, Outlook should download everything that’s currently in the Inbox on the server. However the content of other folders will need to be downloaded/moved manually, and except for the Sent folder, you should be able to copy whole folders at a time.
- To download/copy Sent emails, click the Sent folder so its contents are showing in the email list, then click the top message to highlight it. Press CONTROL+A on your keyboard to select all messages in the Sent folder. Now right click anywhere in the highlighted area, select Move, and select the Sent folder under the new POP account as the destination. This should simultaneously download all your sent items to the new Sent folder AND remove them from the server.
- To download/move any other additional folders you may have created, simply right click the folder to be moved under the old account, select Move, and select the new account as the destination. You may need to move one folder at a time, but it’s still much better than having to move individual messages.

Disabling the Old IMAP Account (if necessary)
Sometimes deleting the old IMAP account is not a viable option because your contacts and calendar information may be associated with it. If this is the case for you, then you can tell Outlook not to use the account for email anymore. Here’s how to do it.
- Click the File tab at the top left and choose Options (below Help), then choose Advanced in the left pane. (In Outlook 2003 and 2007, choose Options from the Tools menu, then click the Mail Setup tab.)
- Scroll down to the Send and Receive section, and click the Send/Receive button.
- Select the group you’re modifying (All Accounts might be your only choice), and click Edit.
- Select the IMAP account, and in the Account Options section, uncheck the following:
— Send Mail Items
— Get folder unread count for subscribed folders.
— Receive Mail Items.
IF YOU SEE ONLY Send Mail Items and Receive Mail Items in Account Options, you have selected the new POP account, so select the other one. - Click OK, Close, and then OK.
